Honeybook

This is a guide to Honeybook, which is our platform for all of our communication with our Brides! I’d love for you to go through everything below and watch the full playlist of videos attached. There are SO MANY videos on youtube for Honeybook, so please learn everything you can to fully understand the program. I listed below areas that I haven’t even dived into yet, but would love for us to be utilizing. Thank you so much for taking the time to learn this program, because it truly is amazing and extremely helpful for us creatives!

Notifications

  • The ‘Bell’ symbol is for notifications, this will show all the tasks that are needing attention

Tools & Templates

  • Here is where we will build all of our templates to make our workflow go smoothly

  • All of our email templates need to be updated, especially because right now they are all written from my perspective. I’d love to at some point build a bridal team, so being our Bridal Coordinator this will be a great way to introduce yourself and help begin the relationship with our brides. Feel free to make them your own, in a professional way, with a bit of softness and character!

Packages

  • Packages & Pricing

  • Travel Fee

    • Prices include travel within 25 miles of Olive Grace Collective. If traveling beyond that, you will be charged $1.15 per mile (one way) from the salon to your location.

    • Any parking, meter, or valet costs need to be paid at the location unless known when invoice is created.

    • There is a minimum of 5 people booked for services to travel on location.

  • Second Stylist / Makeup Artist

    • If more than 8 people are booking services there will be $200 per additional artist added to your total.

  • No Trial Booked & Other Inquiries

    • Hi,  Hope you're doing well! We are just reaching out because we have had a few other inquiries for your date. I know you were interested in booking a trial before paying your deposit to hold your date. We noticed you have not booked a trial yet, so we were wondering if you were still considering us for your wedding day and needed help getting that booked.   • Proposal

    • Hi clients name,    Thank you for your interest in booking with us! I created a customized proposal based on your selections for your wedding day and I would love to share it with you. This is just a proposal to help us both understand each others details.     Down to the nitty gritty…  There is a $100 deposit that solidifies your wedding day on our schedule and the remainder of your total services will be due two weeks before your wedding.     If you would like to do a trial before booking, we can definitely schedule a trial as soon as we are both available. Although, booking a trial does not hold your date, but you will be notified if we have an inquiry.     Now, I know final details and head count may change when we get closer and that is okay with me! The only thing I ask, as you will see in the contract is that we do require a $500 minimum on total services. As far as details on the contract, just fill out what you can and if there is anything that needs to be updated later on we are able to do that.     Once you open the proposal you will be able to:   -Review the proposal of services & payment plan   -Fill & Sign the contract (Fill out as much as you can, we can always edit later   -Make a payment with your deposit online to hold your date.     Let me know if you have any other questions!     Warmly, Melody Justen

  • Bridal Trial

    • Hi,    Thank you so much for your payment! At this point, you can book your trial using our booking page on our website. Usually, we recommend your trial to be booked within 2 months of your wedding date. Please bring along anything you will be placing in your hair on the day of your wedding. (ie. Veil, hair pieces, or extensions) If you are using one of these but do not have them available for the trial day, no need to worry! We can always put them in on the day of with ease. It is more for your sake to see the full image of how your hair will look.     We are looking forward to getting to know you more!  -Melody

  • Final Details

    • Hi ,  I can't believe you are only about a month away from your wedding day!! Oh my!! I am so excited for you! This is just a quick email to pull together all the final details and head count for your wedding day, before the final invoice gets sent out!     What I need to know…  -Final Location & Time Frame for the morning    -Total Number of People receiving hair services   -If any of your ladies have hair shorter than shoulder length.     Thanks  -Melody

  • Create a brochure every 1-2 years in Canva and upload it to Honeybook for a visually appealing brochure

Contracts

  • We currently have a contract that is located in the Templates under Contracts, but it is too long to put here.

Proposals

Library

  • This is where you can upload all of the images you will be using within Honeybook. It holds everything you ever used or uploaded in other areas also.

Automations

  • You can create custom sequences that automatically lead your clients through the work flow. We currently do not have any of these set up, because there is so much to learn with them. We are always open to automating anything we can if it makes the job easier! Please give any suggestions to this if you have any thoughts or ideas!

Calendar

  • You can use the calendar to see where the projects are at in the process. You can also visually see events that are booked on specific dates.

Tasks

  • You can create tasks for things you need to do within Honeybook. If you create an order of things to do, you can utilize this feature. This is another area I have not played around with.

Contact Form

  • This form is created to give our brides a place to inquire for their date and give us all the info we need to begin the booking process. It can be embedded to our website, which it currently is, so when brides fill out the form and push ‘Submit’ it then creates a project for the bride within Honeybook.

Projects

  • Projects are your individual threads or conversations with each individual Bride.

  • When our client fills out our bridal form on our website, it then gets submitted to the Honeybook workflow (https://www.olivegracecollective.com/bridal-hair

Setting Up Your Workflow

  • Active Projects

    • All of the active projects are listed here, no matter where they are at in the process

  • Inquiry

    • This is where you can view all of the initial inquiries from the bridal form located on our website

    • Select the inquiry you want to focus on

    • If you need more time to reply, send out 1st Reply email

    • If we are available, send Brochure & Brochure email

    • If we are unavailable, send Unavailable email

  • 1st Reply

    • If you need time to check dates and get back to them, you can quickly send them this email to let them know you saw their inquiry and are just needing up to 48hrs to reply.

    • Once this is sent, and you have checked the date on our calendar… either send Brochure or Unavailable email

  • Brochure Sent

    • Our brochure and email has now been sent. We are available for their date and now we just wait to see if they select their services they are interested in.

    • Once they select their services they need, HoneyBook will automatically create a Proposal and Contract that you can edit, if needed.

      • Check the packages and edit any of them if you have any other info on numbers

      • Add/Remove Travel Fee or Second Stylist/Artist Fee if needed

      • Check Contract and any info we may have for the day of

      • Adjust Payment plan

        • Deposit - 2 weeks after invoice sent

        • Final Payment - 2 weeks before project

      • Add Proposal email (customize if needed) & Send

    • If you have not received a reply from them after 2 weeks from sending… send them 1st Follow Up email and move stage

  • 1st Follow Up

    • After 2 weeks, if they have not selected any services off the brochure, or replied with any questions, they are sent a Follow up email and placed here

    • If they remain in this section of the workflow for 2-3 months, then you are able to Archive their project

    • If they end up replying at some point wanting to book then you can send them a Proposal and Contract.

  • Proposal Sent

    • Once they are here, they have received the Proposal and Contract

    • If you have not received a reply from them after 2 weeks from sending… send them 2nd Follow Up email and move stage

    • Any any questions they may have about booking

  • 2nd Follow Up

    • After 2 weeks the proposal and contract is sent, if they have not paid their deposit or signed their proposal, they are moved here

    • If they remain here for 2-3 months, then you are able to Archive their project

  • Proposal Signed

    • They have signed their contract, but not yet paid their deposit

  • Retainer Paid

    • They have officially signed and paid their deposit to hold their date!!

    • You can now block their wedding date off the calendar for the stylists & makeup artists involved

    • Once you have blocked their date, you can then send an email about setting up their Bridal Trials

  • Bridal Trial

    • Projects get moved here once you have sent them info on their trial, but before they officially book their trials in the salon

    • Once it gets to be about 4-5 months before their wedding, if they have not booked their trial yet, please send out a reminder email for them to book

  • Bridal Trial Booked

    • They have now officially booked their hair and/or makeup trials in the salon

    • They may start a little bit of their planning while they are in this stage, so answer any questions they may have

    • Once their trial is complete, you can send them their Final Details email, including sending out their Timeline, Hair/Makeup Prep Tips, & Setup Info & Day of Contact info

  • Final Count Details

    • Once they are here, you are waiting to receive all the final details for their wedding date, and confirm all last minute details

    • When you have everything you need, move them onto Planning

  • Planning

    • Both the bride and Olive Grace have everything they need to make the Wedding day go smoothly

    • Once the wedding day is completed, they are moved to Post Wedding Reviews

  • Post Wedding Reviews

    • The wedding day has been completed, and they may be back from their honeymoon.

    • Send out their Post Wedding email anywhere from 2-6 weeks after their wedding

    • Single Stylist email for when one service provider is at the wedding

    • Multiple Stylist email is for when two or more service providers are at the wedding

    • Once email is sent out, you can move to Completed

  • Completed

    • Once the project day is fully complete, they are moved here

    • At the end of the wedding season, review if they have sent us photos or not. 

    • If they have sent photos or did not give us permission to share photos in their contract, send them End of the Season Thank You email and then Archive their project

    • If they have NOT sent photos but gave us permission to share photos in their contract, send them Thank you & Photos email and then move them to Photos

  • Photos

    • Here we are waiting to receive photos from the brides within the previous season

    • Once they are here for 2-4 months, you can then Archive their project

  • Archived

    • Here is where ALL the inactive projects every created for Olive Grace Bridal live and stay
